About the job
As a Front Office Administrative Assistant, you would be responsible for providing administrative and clerical support to department managers in the hotel’s continuing effort to deliver outstanding guest service and financial profitability. Specifically, you would be responsible for performing the following tasks to the highest standards:
Assist the Front Office Management team with daily Front Office operations
Provide prompt service and actively seek opportunities to drive guest’s satisfaction
Ensure the team are kept fully aware of any relevant feedback from either the guests or other departments
Manage, resolve, or escalate any and all guest complaints in a timely manner
Work with all facilities and services provided within the hotel and identify opportunities for up-selling, and promoting new or ongoing events
Ensure a high level of product knowledge of the hotel and the local area and be aware of the daily hotel event schedule
Attend all Front Office meetings
Act in accordance with fire, health and safety regulations and follow the correct procedures when required
Serve your role and team in an environmentally-conscience manner
Purchasing supplies
Provide assistance to Director and Managers
Assist with department Payroll
Manage Director’s calendar
Representative for onsite meetings
Responsible for tracking attendance
Access to confidential information
Guest involvement- responding to GA (guest advisory)
Responding to SALT reviews
Help coordinate any HR-related events with the Front Office department
Responding to Trip Advisor Comments and identifying Trip Advisor Trends.
Responding to Expedia, Booking.com, and other Social Media Sites.
Knowledge of Social Media Sites including Facebook, Twitter and Instagram.
