Job Summary

Responsible for planning, budgeting, forecasting, directing, controlling, coordinating and participating in all Front Office activities to maximize revenue from sales. Controls expenditure and ensures guest satisfaction with accommodation services.

Responsibilities

1. Directs, controls, coordinates and supervises the activities of the personnel engaged in Front Office.
2. Receiving, processing and confirming room reservation. Maintaining control on room availability status.
3. Selling, registering and assigning rooms to incoming guests. Giving general information, controlling the essential rack.
4. Directs the staff responsible for carrying luggage and escorting guests to the rooms.
5. Welcoming and bidding farewell to the guests on arrival and departure.
6. Providing efficient and courteous communication system.
7. Extending prompt and adequate transportation facilities to the guests, to and from according to the flight schedules.
8. Ensures adherence to VIP schemes and their proper implementation.
9. Looks after guest’s needs via a viz. onward reservation as committed by the system.
10. Responsible for proper billing of guest bills as per management Policy.
11. Responsible for preparation of monthly production reports. Keeps a close watch on the use of guest’s safe deposit lockers.
12. Responsible for organizing, conducting and supervising the training of his staff by close coordination with the Human Resources
Development Department.
13. Makes suggestions for selections, recruitments, replacements, dismissals, and change of jobs, promotions and training of his staff to the
management.
19. Maintains an up to date guest history.
20. Responsible for baggage room and safekeeping and delivery of guest’s baggage.
21. Ensures that all the front desk staff reflects the spirit of courtesy and hospitality out and the operations are carried within the procedures laid
down by the company.
22. Deals efficiently with customer’s complaints regarding room or other functional areas in the hotel. Also ensures that special arrangements as requested by the customers are carried out and to ensure good public relations through the front desk operations.
23. Ensures that all the staff is correctly uniformed in order to maintain a correct hotel image.
24. Checks all the departmental log books.
25. Acquaints with daily function sheets and complies with any banquet department requests.
26. Responsible for preparation of departmental reports.
27. Responsible for inspection of guest rooms on daily basis to ascertain that they are properly maintained.
28. Adheres to the enforcement of all house policies, rules and regulations pertaining to front office activities
